Group Sales and Reservations Manager

Incipio Group take forgotten and overlooked spaces and turn them into beautiful venues that defy convention. We specialise in creating destination spaces, focused on food, drink, happy people and good times. We currently operate 6 venues in London with plans to open several more locations in 2021 and now looking for a Group Sales and Reservations Manager to help lead our sales and reservations team.

Incipio Group’s Reservations and Sales Team is often the first contact guests have with our brands. It is the responsibility of the Group Sales and Reservations Manager to manage their team to drive bookings and revenue through the effective management of all booking types from enquiry to planning and to delivery, whilst delivering exceptional service and helping to deliver unforgettable guest experiences.

What you’ll be doing:

  • Manage the reservations team, ensuring a seamless guest journey from initial enquiry to post visit feedback.
  • Pro-actively convert restaurant, bar and event enquiries from all revenue streams into confirmed bookings and sales.
  • Support sales forecasting, monitor sales in line with targets, recognise trends and guest behaviours, and flag any opportunities for increasing revenue.
  • Monitor call handling and conversion rates and report findings and recommendations to the senior team.
  • Produce and analyse reports of venue bookings and ticketed event sales.
  • Leading the reservations team, ensuring appropriate staffing levels, effective distribution of workload and ensuring that the correct standards of service are maintained.
  • Engaging with the wider team to ensure upselling is encouraged at every stage of the customer journey.
  • Carry out quality training in a systematic and professional way to meet the needs of the business.
  • Carrying out regular competitor reviews to ensure product/experience pricings are in line with market trends and to build on local knowledge.
  • Look for opportunities to improve customer experience, increase efficiency and generate profit.
  • Ensure effective communication with the venue and operations team to ensure the guest expectations are exceeded at every stage of their booking.
  • Provide training to venue teams on how to manage enquires and how to use the booking system effectively and in line with company standards.
  • Support customer loyalty by delivering service excellence throughout each customer experience.
  • Work in collaboration with wider Incipio Group teams and Marketing Team.

We currently operate 6 venues in London with plans to open several more locations in 2021 and now looking for a Group Sales and Reservations Manager to help lead our sales and reservations team.

The Venue Sales and Events Manager will be proactive in all things seizing every opportunity to succeed and maximise every sales and event lead for Pergola on the Wharf, our latest venue opening in Canary Wharf in May 2021. A self-starter with integrity and the drive to succeed are essential qualities with experience in the hospitality sector essential. The successful candidate must have a proven track record in sales and events and a reputation for hitting and exceeding targets.

What you’ll be doing:

  • Grow and maximise pre-booked sales, encompassing all aspects of corporate and consumer channels. This includes drinks/food packages, private areas, private hire and group bookings.
  • New business development – you will be required to contact, network and outreach to build new relationships and establish new business.
  • Upselling from reactive sales, convert the maximum amount of enquiries as possible into bookings
  • Work to pre-determined targets as set by the business, maximising all opportunities to achieve these.
  • Attend networking events, raising the profile of the venue
  • Arrange and conduct key client meetings to promote the venue
  • Manage all aspects of the sales pipeline with prospective clients, to include quotation, timely communication by email and phone, sales meetings and negotiation.
  • Manage all aspects of client post-sale, pre-event administration, to include menu selection, tasting meetings, event time schedule, table layout, dealing with third parties (e.g. marquee providers), providing general advice
  • Communicating in a timely manner with the General Manager to include menu selection, tasting timetable, dietary needs, guest numbers, facilities available/venue constraints
  • Setting up at the Event. Ensure that site is fully ready for function. Liaise with client to plan last minute details. Ensure before, during and after event, function site complies with Health and Safety requirements and staff follow Health and Safety guidelines
