Reservations Assistant

We specialise in creating destination spaces, focused on food, drink, happy people and good times. We currently operate 6 venues in London with plans to open several more locations in 2021 and now looking for a Reservations Assistant to help managing our reservations across all venues.

As a Reservations Assistant you be responsible for the smooth and efficient running of the reservations and sales function of the business. You will be responsible for responding to reservation enquiries via telephone and email, communicating with the venue regarding bookings, cancellations and special requests, and providing exceptional customer service to all guests you come into contact with.

What you’ll be doing:

  • Responsible for responding to reservation enquiries via telephone and email
  • Ensure all group telephone calls are handled politely and efficiently, ascertaining and accurately meeting the caller’s needs
  • Manage booking cancellations and reconfirmations
  • Working and co-operating with colleagues to enhance the guest experience at all times.
  • Follow the correct procedure for confirming bookings, including deposits, card details, pre orders of menus and drinks and issuing terms and conditions.
  • Provides accurate information regarding venue product offering (menus, packages, terms and conditions) so as best to inform the guest and guide them to a suitable package, upselling as required.
  • Understands that the guest experience begins at enquiry and ensures all guests are dealt with in line with service standards of Incipio Group’s policies and procedures.
  • Have key knowledge of the products available, events being advertised and how to accommodate dietary requirements.

Sales and Events Manager

We currently operate 6 venues in London with plans to open several more locations in 2021 and now looking for a Group Sales and Reservations Manager to help lead our sales and reservations team.

The Venue Sales and Events Manager will be proactive in all things seizing every opportunity to succeed and maximise every sales and event lead for Pergola on the Wharf, our latest venue opening in Canary Wharf in May 2021. A self-starter with integrity and the drive to succeed are essential qualities with experience in the hospitality sector essential. The successful candidate must have a proven track record in sales and events and a reputation for hitting and exceeding targets.

What you’ll be doing:

  • Grow and maximise pre-booked sales, encompassing all aspects of corporate and consumer channels. This includes drinks/food packages, private areas, private hire and group bookings.
  • New business development – you will be required to contact, network and outreach to build new relationships and establish new business.
  • Upselling from reactive sales, convert the maximum amount of enquiries as possible into bookings
  • Work to pre-determined targets as set by the business, maximising all opportunities to achieve these.
  • Attend networking events, raising the profile of the venue
  • Arrange and conduct key client meetings to promote the venue
  • Manage all aspects of the sales pipeline with prospective clients, to include quotation, timely communication by email and phone, sales meetings and negotiation.
  • Manage all aspects of client post-sale, pre-event administration, to include menu selection, tasting meetings, event time schedule, table layout, dealing with third parties (e.g. marquee providers), providing general advice
  • Communicating in a timely manner with the General Manager to include menu selection, tasting timetable, dietary needs, guest numbers, facilities available/venue constraints
  • Setting up at the Event. Ensure that site is fully ready for function. Liaise with client to plan last minute details. Ensure before, during and after event, function site complies with Health and Safety requirements and staff follow Health and Safety guidelines

Learning and Development Manager

We currently operate 6 venues in London with plans to open several more locations in 2021 and now looking for a Learning and Development Manager to help train, develop and inspire our people across all venues.

As a Learning and Development Manager you will be responsible for all training and development in our current sites looking after our incredible people and equipping them with the skills and ambition to love and be awesome at what they do. You will also nurture the talent they already have and make sure that Incipio has the most remarkable people and leaders in the industry. You will lead the way when it comes to investment training and new openings making sure our we have hospitality running through our veins.

What you’ll be doing:

  • Owning the career pathway from Team member to General Manager, creating development interventions at every stage so our people are assured of their next step and just how far they can go.
  • Train and develop our people on everything from product knowledge and perfect serve to leadership and train the trainer
  • Passionate about delivering an exceptional L&D strategy that includes everything from recruitment, onboarding and inductions to development, retention and diversity
  • To grow, nurture and develop Incipio People at all levels, Support and equip team development and inspire teams to deliver the best, innovative and relevant training to the business and in bed a valuable career ladder. Leading Hearts and Minds
  • Establish effective and strong working relations with each department and understand how they work and how this feeds into Learning and Development
  • Ensure all new managers to the business are trained and the career ladder is followed
  • The ability to measure success and communicate successes both internally and externally
  • Work effectively and innovatively to make sure we are always driving growth and sales
  • Deliver any additional training and mentoring required by the business to develop the skills base and knowledge of the existing teams and management in Incipio
  • To deliver development and support at all levels to enable people to reach their goals through personal development and group training all people to feel engaged and able to grow. To ensure every guest receives the best hospitality through knowledge empowered and confident team.
